Cancellations and Rearrangements

Due to increased demand and in order to ensure the fair distribution of lessons and that all students will be able to have classes at their preferred times, Akademia has instituted the following policies for cancellations and rearrangements:

Regular Lessons

 

• Cancellations must be made with a minimum of 48 hours’ notice

• Students may cancel no more than 25% of lessons per calendar month - otherwise, lessons will be charged regardless of notice period

• If students cancel more than 25% of lessons for 2 or more months, the company reserves the right to cancel all remaining lessons with a minimum of 48 hours’ notice.  Payment for lessons cancelled by Akademia that has not been taken yet will be refunded

• Students may rearrange a lesson with minimum of 48 hours’ notice - lessons must be rearranged to a time within a 7 day period

• The first rearrangement in each calendar month will be free.  However, an administrative fee of HK$50 will be charged for each subsequent rescheduling.

• Extra lessons booked during holiday periods will be treated as holiday lessons.  Therefore, these additional lessons will only be confirmed on receipt of payment and cannot be cancelled after confirmation.

Holiday Lessons

 

• Lessons must be confirmed by payment within 7 days of the schedule having been sent out. Akademia reserves the right to release unconfirmed lessons without further notice if students do not confirm the schedule within this 7-day period by payment.

• Lessons cannot be cancelled after confirmation.  

• Lessons may be rearranged to another time in the same holiday period, subject to availability, at a fee of HK$50 per rearrangement. Rearrangement requests must be made and rearranged times confirmed at least 48 hours before the original scheduled lesson.

 

Severe Weather

 

At Akademia, we are aware that our students based in Hong Kong may be affected from time to time by severe weather.  In the event of severe weather, we will give priority to the safety of our students and staff.  The following is our general policy:

 

Tropical Cyclone Warning

 

Signal No. 1

                - All lessons will proceed as normal

 

Signal No. 3

                - Year 6 or below lessons may be cancelled free of charge with an hour’s notice or switched to an online format upon the parents’ request

                - Year 7 or above lessons will operate as normal

 

Signal No. 8 and above

                - All lessons can be switched to an online format or otherwise cancelled or rearranged

 

 

Rainstorm Warning Signal

 

AMBER

                - All lessons will operate as normal

 

RED

                - Lessons will operate as normal for students already in or on their way to the centre, however we will ensure that the environment is safe and contact parents before allowing students to return home.

                - Lessons for students not already at the centre may be switched to the online format on request

 

BLACK

                - All lessons can be switched to an online format or otherwise cancelled or rearranged
